This document explains how to manage versions of material libraries.
Version Management for Connected Materials (Organization-Specific and Organization-Wide)
Reflecting the Latest Version
Tip) Connected Materials: This concept refers to the classification of material libraries, where a connected material is designated when the original material is imported. (In other words, it is a copy of the original material.)
Connected materials assume the existence of original materials. When the original materials are modified and updated, the versions of the connected materials are also affected. In this section, we will guide you on how to reflect the latest version in connected materials that have an older version applied. Admins have the option to choose which version of the connected materials to use, so they need to manually reflect the desired version.
Go to the Subject Details page > Subject/Material Library menu > Material Library tab.
Go to the "Connected Materials" tab.
Click the "Reflect the Latest Version" button. (If all connected materials are already up to date, this button will be disabled.)
Select the connected material(s) to reflect the latest version (i.e., with an older version applied), and click the "Reflect" button.
Changing the Version of the Connected Materials
Even if the admin has reflected the latest version in the connected materials, they can still revert it back. This functionality can be useful when there are issues with the latest version or when the older version needs to be used for operational purposes.
Go to the Subject Details page > Subject/Material Library menu > Material Library tab.
Go to the "Connected Materials" tab.
Click the "Change Version" button on the right side of each material's row. (This button is only enabled if there are two or more versions of the original material.)
Select the desired version and click the "Change" button.
Version Management for Original Materials (Organization-Specific)
After registering a material library, it is necessary to perform an "update" when modifying/saving the original material library. Failure to update will result in the modified content not being reflected in the library system, so it must be done.
"Organization-Specific" materials can be directly managed by the organization that created the library. Therefore, organization admins can modify the library and perform version updates directly.
Go to the Subject Details page > Subject/Material Library menu > Material Library tab.
Go to the "Organization-Specific" tab.
Click the "Update" button.
The update for the modified content in the original material (organization-specific) will be immediately reflected and registered as a new version.
Version Management for Original Materials (Organization-Wide)
"Organization-Wide" materials are libraries provided by Elice and can be used by authorized organizations. Since they are managed by Elice, organization admins cannot directly modify the original materials.
However, for some organizations that can manage the "Organization-Wide" original materials, they are granted the permission to modify the materials. In this case, they need to go through the process of requesting an update to the Elice Operations Team.
This section explains the process for "organization admins with permission to modify the Organization-Wide original materials" to request an update for modifications.
Go to the Subject Details page > Subject/Material Library menu > Material Library tab.
Go to the "Organization-Wide" tab.
Click "Request Update".
Select the original material (Organization-Wide) for which an update is requested, and click the "Request" button.
This update request will be sent to the Elice Operations Team and, after final approval, the update for the original material (Organization-Wide) will be reflected. It will also be registered as a new version.
This section explains the process for "the Elice Operations Team, which has full administrative control over the Organization-Wide original materials, to immediately update the modifications".
Go to the Subject Details page > Subject/Material Library menu > Material Library tab.
Go to the "Organization-Wide" tab.
Click "Update".
The update for the modified content in the original material (Organization-Wide) will be immediately reflected and registered as a new version.
Tip) The Elice Operations Team can approve or reject update requests from organization admins for original materials (Organization-Wide). Please refer to the "Structure Management? (admin)" document for this process.
